Create a Teamleader and assign a team in Evercate

The Teamleader role is ideal for involving several people in the organisation in the follow-up and daily management.

A Teamleader will not access anything in the admin interface, but will have an extra section available in the portal instead.Next to "My courses" they will also have access to "My team", where they can see:

  • An overview of how their team is doing, and which members of the team are not on track.
  • A list of all the courses their team has access to, along with an overview of how they are doing in each specific course.
  • A list of all users belonging to their team, along with a more detailed view of each individual user and what they did, when they did it, etc.

Like most things in Evercate, Team is controlled by tags, which we'll go over in more detail below.

As an example, in this guide we use the user Amelia Earhart who we want to make Teamleader for all users in the US with the Sales role, and thus see how they are doing.

Make a user a Team Leader

To make a user a Teamleader, you must edit the user. Go to the "Users" page in the menu, then find the user you want to make a Teamleader. Once you have found your user, click on the pencil icon to edit them.

As you can see in the screenshot below, when we edit the user there is a tab called "Roles", which we have accessed, and next to it a shaded tab called "Team" which we will come back to shortly.

Check the box for "Teamleader" to make this user a Teamleader and then save. You will notice that once you have checked this box, an additional text will appear below it saying that you must first save and then edit the user again in order to set up a team.

Set up a Team for your Team Leader

Click on the pen to edit the user again, now go to the "Team" tab which is no longer greyed out. Here you will get a list of "Teams" for this user. To add a new one, click on "Add".

Now select the tags that will define this Team from the searchable list. In my example, I want Amelia to be the Teamleader for all users in the country USA with the role Sales, so I select both of these tags from the list.

Note that there is always an AND between these tags, so users must have both tags to be included in the team. You can create multiple teams if you need to.

Let Teamleader create users

Below the tag selector is a checkbox to allow this Teamleader to create users. Checking that box will drop down a section with more options.

If you allow a Teamleader to create users, all users it creates will automatically be assigned all the tags that define the team. In our example, all users created by Amelia will automatically be tagged with the country tag USA and the role tag Sales.

This means that your users will automatically get all the content that users with those tags should have.

Most of the options for allowing a group leader to create users are self-explanatory. But worth mentioning is that Name to view is used in cases where a Teamleader has multiple teams, as it becomes the name in the selector where you change which team you are looking at.

Example: if we say that a store manager is responsible for two stores, it makes sense to set up one team per store. Instead of displaying all the tags that make sense from an admin perspective, we can simplify things for the store manager and describe the teams by the respective names of the stores, location or similar.

In addition to the tags that define the team, you can set a team leader to assign additional tags. This will allow the teamleader to tick and untick these tags for their team members to further describe them, and ultimately control that they receive the right content. This thus provides a unified team, for an overall view but with the ability to control a little deeper.

Example: we take our store manager again, and say that there are different sets of content depending on whether you are an extra staff or a regular staff. Then we can define the team as usual, but make the tags "extra staff" and "regular" available so the store manager can tick what applies.

Preview Team

After you assign one or more teams to your Team Leader, you can preview what they will see when they go to "My Team". You will find this link under the "Team" tab when editing the user.
